This website (the "site") is operated by Solstice VOF, registered at Terhove 140, 3840 Bommershoven, Belgium, with VAT number BE0784411482 ("Moonhorse", also referred to in this policy as "we", "our", and "us"). Moonhorse is a publishing imprint of Solstice VOF.

This Privacy Policy sets out how we collect and use any personal data you provide to us through this site. It is written to comply with the General Data Protection Regulation (Regulation (EU) 2016/679, "GDPR") and Belgian data protection law.

1. What we collect

Our site is informational. We do not sell books or other products directly through this site, and we do not run a newsletter, accounts, or login system. As a result, we collect very little personal data.

The only personal data we collect is data you choose to send us:

1.1 Email correspondence. If you contact us by email, for example with a question, a manuscript submission, a press enquiry, or a comment, we will hold the information you provide so that we can respond and keep a record of our correspondence.

1.2 Site usage data. Our site uses analytics cookies to help us understand how visitors use the site (see our Cookies section below). This data is aggregated and does not identify you personally.

If we add a newsletter, direct sales, or any other feature that collects personal data in future, we will update this policy before doing so.

2. How books are sold

We do not sell books directly through this site. Our books are sold through third-party retailers, distributors, and ebook platforms. When you buy one of our books from any of them, the retailer is the data controller for that purchase, not Moonhorse. Their privacy policies apply, not ours.

3. Legal basis for processing

Under the GDPR, we must have a lawful basis for processing your personal data. The bases on which we rely are:

Our legitimate interests. We rely on our legitimate interests as a business to respond to your enquiries, manage and improve our site, keep records of correspondence and submissions, and protect the site from misuse.

Your consent. Where required by law (for example, for non-essential cookies), we will only process your data with your consent, which you can withdraw at any time.

Legal obligations. We may process information to comply with legal obligations, for example to keep records for tax and accounting purposes, or to respond to lawful requests from authorities.

We do not sell your personal data and we do not share it with other publishers or third parties for marketing purposes.

Our service providers. We use Squarespace to host this site and Google Analytics (or similar) to understand site usage. These providers process data on our instructions under written agreements that comply with the GDPR.

Our professional advisers. Where necessary, we may share information with our accountant or lawyers, who are bound by professional confidentiality.

Public authorities. We may disclose data to regulators, law enforcement, or courts where legally required.

5. Storage, retention and international transfers

5.1 Our website host (Squarespace) is based in the United States. Where personal data is transferred outside the European Economic Area, we rely on safeguards approved under the GDPR, including the European Commission's Standard Contractual Clauses.

5.2 We keep personal data only for as long as we need it. Email correspondence is typically kept for up to two years after our last contact, unless a longer period is needed (for example, where a publishing relationship begins). Records required by Belgian tax and accounting law are kept for seven years.

We take appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, alteration or disclosure. The transmission of information over the internet is never completely secure, and any transmission is at your own risk.

7. Your rights

Under the GDPR you have the right to:

  • have inaccurate or incomplete data corrected;

  • have your data deleted in certain circumstances;

  • restrict our processing of your data in certain circumstances;

  • receive your data in a structured, commonly-used and machine-readable format, and have it transferred to another organisation;

  • object to our processing of your data, including for direct marketing;

  • withdraw your consent at any time, where we rely on it.
